Terms of Use

1. GENERAL PROVISIONS
These Terms and Conditions govern the relationship between the Conference Organizer and the participants (physicians, residents, students, and representatives of the medical industry).
  • Organizer: National Neurosurgery Conference 2026 and the Bulgarian Society of Neurosurgery.
  • Event: The National Neurosurgery Conference, held from 16-18.10.2026 in Sandanski.
2. REGISTRATION AND PAYMENT
  • Application for participation: Registration is completed through the Conference System on the website. Participation is considered confirmed after payment of the registration fee is received.
  • Fees: All prices are listed in euros and include VAT.
  • Documents: The Organizer issues an invoice for the payment within the statutory deadline.
3. CANCELLATION OF PARTICIPATION AND REFUNDS
  • Cancellation requested by 31.08.2026: 100% refund of the amount (excluding bank fees).
  • Cancellation requested between 31.08.2026 and 30.09.2026: 50% refund of the amount.
  • Cancellation after 30.09.2026: amounts are non-refundable.
  • All cancellations must be sent in writing by email: organizer@neurosurgeryconference.bg.
4. SCIENTIFIC PROGRAM AND ABSTRACTS
  • Authorship: By submitting an abstract, the author guarantees that the material is original and does not infringe third-party copyrights.
  • Publication: Participants grant the Organizer the right to publish accepted abstracts in the conference proceedings (digital or printed).
  • Certificates: A certificate of participation/presentation is issued only to attending delegates who have completed on-site registration.
5. CONDUCT AND ETHICS
  • The conference is a professional event. The Organizer reserves the right to remove participants who violate proper conduct or interfere with the scientific session.
  • Recording presentations without the speaker’s explicit consent is prohibited due to the presence of sensitive clinical data and patient cases.
6. PERSONAL DATA PROTECTION (GDPR)
  • The Organizer processes personal data (names, UIN, email, phone) solely for the purposes of registration, issuing certificates, and providing information about future scientific events.
  • Official photo and video recording will take place during the event. By accepting these terms, participants agree to be photographed and filmed. Refusal of photo and video recording should be sent to organizer@neurosurgeryconference.bg.
7. FORCE MAJEURE
  • The Organizer is not responsible for inability to hold the event due to circumstances beyond its control (epidemic measures, natural disasters, etc.). In such cases, the event may be postponed or moved online.
8. EXHIBITORS AND SPONSORSHIP
  • Booth placement: Exhibitors undertake to comply with the setup and dismantling schedule determined by the Organizer. Any modification of the exhibition area beyond what has been agreed requires written approval.
  • Advertising materials: Distribution of advertising materials (brochures, samples) is permitted only within the rented area or in designated locations.
  • Liability: Exhibitors are responsible for the security of their equipment and for any damage caused to the venue facilities.
9. ACCOMMODATION AND LOGISTICS SERVICES
  • Hotel reservations: The Organizer acts as an intermediary between the participant and the respective hotel. All complaints regarding hotel service quality, accommodation, or catering should be directed to the hotel administration.
  • Reservation changes: Any change in stay dates or cancellation of nights is charged according to the cancellation policy of the specific hotel.
  • Transport: The Organizer is not responsible for public transport delays or participants’ personal transport issues.
